Chiltern Academy Terms and Conditions and School Policy

Terms and Conditions

Chiltern Academy School of Performing Arts is a Registered School with Fully Qualified Teachers.

The aim of the Academy is to run happy and inclusive classes with the accent on quality teaching, discipline and to encourage each child to reach their full potential.

We offer weekly term time performing arts tuition to you/your child, the opportunity to take part in examinations, festivals, competitions and to represent Chiltern Academy School of Performing Arts at other community events from time to time.

You agree that you/your child will adhere to the School Policy and the obligations of all parties are detailed below, and upon joining the Academy form part of the Terms and Conditions of our contract together.

Fees

Lesson Fees

There is no enrolment fee to Chiltern Academy School of Performing Arts and your first trial lesson is free, thereafter lesson fees are payable on a termly basis. A list of all class fees can be found on our website.

We split our fees across form terms per year (Autumn, Winter, Spring and Summer)
You will be invoiced before the beginning of each term and payment is due on receipt of this invoice and no later than the first lesson of the term.  Any late fees will incur a £10 surcharge.
If you join midway through a term your fees will be reduced accordingly. Payment is required in full for all lessons regardless of attendance once you have joined the Academy.

If we need to cancel a lesson due to unforeseen circumstances (adverse weather conditions, teacher illness etc.) an alternative lesson will be arranged or you will be directed to our online learning facilities, if you are unable to attend the replacement class no refund will be issued.   Refund for the lesson will only be given if we are unable to provide a replacement lesson.
Half terms notice is required in writing should you wish to decrease or cease lessons with us or the term to be paid for.

Should you wish to spread the annual cost of your/your child’s lessons over the year please contact Miss Lisa to discuss setting up standing order for a 12-month payment plan.

Additional Fees- Shows, Festivals and Examinations

The cost of shows, festivals, exam entrance and coaching are not included in your school fees.  These are payable separately prior to them being undertaken.  You will receive a letter regarding all Information and costs so you are aware of them before you commit.

 

Uniform

Students are expected to attend every lesson in uniform by the end of their first half term.  Uniform requirements can be found on our website and noticeboard at the studio.

Students in all classes must wear appropriate footwear, ensure hair is secured away from the face and all long hair is tied back.  In all Ballet classes, students are expected to wear their hair in a classical bun. For advice about how to put hair in a bun, please do speak to the class teacher or you can find lots of tutorials on YouTube.

Jewellery (except small stud earrings) and watches are not permitted to be worn. Chiltern Academy School of Performing Arts is not responsible for loss of or damage to any valuables which are brought into, or left at, the studio.

 

Class Etiquette

Chiltern Academy School of Performing Arts is proud of its high standards of skills and behaviour and its excellent reputation.

Whether in class or representing the school at an external event, all students are expected to promote a positive atmosphere and to behave in a way which shows care and respect for the needs of the students, the Chiltern Academy School of Performing Arts team, and their environment.

In the best interests of both pupils and the Chiltern Academy School of Performing Arts team we do not encourage the parallel attendance of another local dance school offering the same dance styles and syllabus.

If you currently do, or wish to, attend another dance school as well as Chiltern Academy School of Performing Arts, please contact Miss Lisa to discuss this further.

 

Viewing classes

Parents are not permitted to watch the weekly dance classes from within the dance studio/hall as this can be distracting for the students.

We do hold watching weeks throughout the year as well as our bi annual shows where we invite all parents and family to join us to view and celebrate their child’s progress.

When students are participating in Community Events, family and friends are usually welcome to attend.  Entry fees may be payable to the event organisers.

 

Queries

If you have queries or questions which may need to be discussed at length or in private, please do not raise them with our team at the start or finish of dance classes. This can delay the scheduled class timetable.

All grievances or concerns should be discussed in private with the Head of School and not directly with any of the Chiltern Academy School of Performing Arts team, volunteers, students, parents or members of the public either in person, on social media or on any other online forum.

Chiltern Academy School of Performing Arts does not tolerate verbal, physical or online abuse towards any member of the Chiltern Academy School of Performing Arts team or associated volunteers within the school, or at external events, under any circumstances.

Confidentiality

Chiltern Academy School of Performing Arts respects the privacy of every student enrolled at the school.  Our Privacy Policy can be found at the bottom of our legal page on our website and provides more information on how we process your information.

It is essential that we can to contact you in an emergency and that we know of any medical conditions which may affect you or your child during lessons or associated events, so please provide us with this information. It is your responsibility to inform us of any change of contact or medical details so that our records are fully up-to-date at all times.

Your/your child’s registration form must be completed with all necessary details and is considered to be an indication of your agreement to the Terms & Conditions of your contract with Chiltern Academy School of Performing Arts.

The information and personal data that you provide to Chiltern Academy School of Performing Arts is solely used for the management and running of the academy, it is not shared with any 3rd party companies or individuals.  Where information needs to be given for examinations entry and to show venues in relation to child performance we will always ask for your consent.

Child Protection

The school follows a strict child protection policy which is available to view at the bottom of our legal page on our website.

We summarise some important points below:

  • Because of the physical nature of dance, there may be times when the teacher will physically correct you/your child in order to ensure all movements and positions are correctly executed, and to avoid injury.
  • You are responsible for the supervision of your children in all areas of the dance school location prior to the class starting, for any additional children waiting with you during the class, for collecting your children immediately their class is finished and for the supervision of your children in all areas of the dance school location following the class. Chiltern Academy School of Performing Arts cannot be held responsible for children outside of their lesson times. If there is an issue with collecting your children after a class, please speak to the class teacher prior to the start of the class.
  • All students must arrive on time for their class and participate in the warm-up at the start of the lesson. This routine is a vital part of the prevention of injuries in class.
  • There will be occasions during school shows and events when you/your child will be videoed/photographed and images may subsequently be used for school notice boards or to promote the school in other media. You have the opportunity to give or withhold consent in this regard on enrolment. You may update your preferences at any time by writing or emailing Miss Lisa.
  • Please ensure your child has been to the toilet before starting their class and, if they are unable to independently use the toilet, please be available for the duration of the class to assist in this regard.

Attending any class at Chiltern Academy School of Performing Arts implies that:

You understand and agree to these Terms & Conditions and that
You/your child understand and agree to follow the School Policy.
